 Job Description

Primary responsibility of the role is to manage the complete day to day activities at the Guest Service Center at the hotel for the shift which he / she is allotted to.

Receive each guest call in a professional and friendly manner
Maintain effective communication with all departments to ensure smooth service delivery
Handle every query in a polite and courteous manner
Maintain an up to date knowledge of the hotel and local services
Maintain an awareness of guest profile through the Opera guest profile system
Maintain the guest wakeup call sheet and deliver calls accordingly on time and to the established standard
Ensure the proper operation of the Guest Service Center, resulting in fast and efficient transferring of internal and external calls
Take messages for guests and management as per the required standard.
Maintain GSC Log / Call Tracker
Complete all data entries required
Knows what action to take when an emergency call is required.
Monitors automated systems including fire alarms and telephone equipment when engineering and maintenance department is closed.
Assists in reporting telephone equipment or service complaints and problems.
To be fully aware of and adhere of health and safety, fire and bomb threat procedures.

Knowledge, Skills & Experience

Education

Minimum Diploma or Bachelors in any discipline

Job Experience

0-1 years hotel industry experience in 3 or 4-star hotel
GCC experience preferred.

Others

Excellent interpersonal and communication skills.
Experienced and effective people manager.
On the feet thinking to drive creative solutions to overcome obstacles.

 Job Description

Job Purpose –

Manage reservation booking enquiries from all channels (Voice; Email; OTA; Travel Agents, Wholesalers) ensuring accurate processing of bookings in a professional, efficient and timely manner as per industry standards.
Essential Skills
Interpersonal skills: Provide patience and confident communication to all guest, sales team and 3rd party partner enquires in an efficient, supportive and professional manner.
Organizational skills: Able to manage large amounts of customer information and able to keep track of reservation modifications and revisions in an organized manner.
Product Knowledge: Agents are expected to have an in-depth knowledge of our hotel features, amenities, F&B facilities and room information, along with information about the surrounding area.
Patience and Teamwork: Work well within a team of dedicated professionals in many stressful situations. Manage a variety of customers and situations including Travel Agents and Wholesaler partners in a calm and pleasant manner no matter the situation.
Technological proficiency: Duties include managing all inbound enquires both transient and groups received via phone and email and must be proficient in using Opera PMS as well as Microsoft Outlook and MS Office.
Detail oriented: Able to execute multiple tasks (bookings, group bocks) with consistent accuracy and efficiency.
Flexible Work Hours: Our Central Reservations office is open 7 days a week, 365 days per year. As such, agents are expected to be available to work 6 days per week and flexible on which day of the week they are off.
Daily Tasks
Execute reservation booking enquiries from all channels (Voice; Email; OTA; Travel Agents) ensuring accurate processing of bookings in a professional, efficient and timely manner as per industry standards.
Validate OTA bookings received via CRS (TravelClick)
Follow up / validate correct charges received via OTA’s
Knowledge, Skills & Experience
Education
Minimum Bachelor’s Degree in any discipline.
Job Experience
Minimum 3 years’ experience in reservations in a hotel / resort.
OPERA Version 5.0.
Microsoft Office
Others
Excellent interpersonal and communication skills.
Speak, Read and Write English.
Team player and accustomed working in high pressure environment.
Efficient Negotiation skills.

Carries out training within the department for new recruits and on going training for the staff while on their shift.

Assumes control of reservations & room blockings outside normal reservation hours.

Conducts team briefing before shift.

Reviews arrival list for all arrivals and VIPs refereeing to room allocation, VIP treatments and special requirements.

Processes the No Show Lists on daily basis by agreement with Front Office Manager.

Performs all duties and responsibilities in a timely and efficient manner in accordance with established company policies and procedures to achieve overall objectives of this position.

To understand and strictly adhere to the Rules & Regulations established in the Employees Handbook and the Hotel’s policy on Fire, Hygiene, Health & Safety.

To ensure that all potential and real hazards are reported and rectified immediately.

To understand and strictly adhere to the Code of Conduct.

To report for duty punctually wearing the correct uniform and name tag at all times.

Performs any other duties as assigned to him/her by management.
